Rules & Guidelines For
"Member's Only" Competitions
formally known as "Best Shot" Competition

Calendar

I.     All members of OCPA in good standing are eligible to compete. OCPA members who are unable to attend a given competition may arrange with a fellow member to have them submit their entry(s).

II.    There will be four (4) competitions for each Division per OCPA fiscal year (July to June). All competitions will be open (no theme, any subject matter).

III.  
Each member may enter up to three (3) images per competition night - up to twelve (12) total images for a given Division for the competition year.

IV.   DIVISIONS: There shall be four (4) Divisions, with each Division being judged on different competition nights (see the calendar). There is no distinction made in classification or judging base on capture or printing method (i.e. digital or film cameras, scanners, traditional “wet” darkroom, ink-jet, etc.).
    A. Transparencies (film slides)
    B. Color Print (includes monochrome prints that have been “hand colored”)
    C. Monochrome Print (a print with only one HUE, void of additional colors)
    D. Electronic (images that are digital files)

V. SUBMISSION CRITERIA: All images must be properly identified. (Please note that these guidelines are for OCPA competitions, other organizations such as 4Cs, PSA or other competitions may have different requirements.)

A. TRANSPARENCIES must be in a 2”x2” slide mount (to be shown using a “Kodak Carousel” slide tray. They shall be marked with a dot or other thumb mark (spot) in the lower left corner of the mount as the maker intends the image to be shown. A title may be placed on the front of the slide to the left of the thumb mark (when it is turned upside down) as shown. Maker’s name shall appear on the backside – opposite the thumb mark as shown (below). Images may be entered the night of the competition.
B. PRINTS (Color and Monochrome)
can not exceed an outside dimension of 8.5 x 12 inches. NO Matting, mounting or plastic sleeves. For competition purposes, there shall be NO name or title on the front of the print. The maker’s name, print title, entry date and image orientation must be on the back of the print. (Labels are available on OCPA’s website – www.oregoncoastphotoclub.com >Downloads.) Images may be entered the night of the competition.
C. ELECTRONIC images must be in the .jpg (jpeg) file format with the largest dimension not to exceed 768 pixels (whether horizontal or vertical). File size must not exceed 350kb and the use of the sRGB color space is recommended. Files must follow the following naming convention: LastnameFirstname_Title.jpg (example: PhotographerJoe_MyPhoto.jpg). In order for an electronic image to qualify for a judging, the Committee Chair must receive the images at least two days in advance of the competition night (e.g. by Saturday for a Monday meeting) via email attachment (limit one attachment per email) or digital media (USB jump/flash/thumb drive, CF/SD/XD/Memory Stick card, CD/DVD – check with Committee Chair for exact media compatibility). Images shall remain on the Committee’s Chair’s computer (or back-up) until the annual competition. Images will be shown for judging using Windows Picture and Fax Viewer (in slide show mode).

VI. JUDGING:

A. Every person attending the competition meeting will encouraged to judge by writing down their choice for 1st, 2nd, 3rd, 4th, & 5th Places on a provided judging sheet.
B1.
Transparency and Electronic images will be “previewed”, shown a second time for “scoring” and then a third time for review and confirmation of score (essentially they will be shown three times giving all judges the opportunity to view and decide on their placement/scores).
B2.
Prints (Color and Monochrome) will be laid out on tables with a number and the judges may roam the room, deciding which image to indicate for a place at their leisure (within the reasonable designated time for the competition).
C.
Titles of images will be announced after the scoring process is complete.
D.
Points will be awarded to the image indicated on a judges score sheet (5 points to 1st, 4 points to 2nd, 3 points to 3rd, 2 points to 4th & 1 point to 5th).
Points will then be tallied (all judging sheets added together) and awards
announced (Highest total score award 1st, next 2nd , etc.). Ties will not be broken.

VII. ANNUAL “IMAGE OF THE YEAR” COMPETITION

A. All images that have placed at a competition will be retained by the "Year End Chair" for an "Image of the Year" competition (by Division). These images will be judged separately by another camera club, and then returned to the maker at the OCPA Annual Meeting.
B. For each Division, a
1st, 2nd, 3rd Place Award will be given (no ties), plus a reasonable amount of Honorable Mentions (as determined by the "Year End Chair" and the judging club based on the number of entries - approximately 10%). Then each Divisions' 1st Place winners will be re-judged and an overall "Image of the Year" will be awarded.
C. The “Image of Year” awards will be announced at the OCPA Annual Meeting and may be reproduced in OCPA’s official publications (newsletter, website, brochures, posters, etc.).
